SHOW RULES AND IMPORTANT INFORMATION:

SHOW RULES - The following rules shall be considered a part of the contract as specified therein.

  1. Set-up of Landscape Display Gardens, West Arena may commence at 7:00am, following layout of floor, on Monday, February 23, 2009. Display Gardens must be completed and cleaned by 11:00am on Thursday, February 26, 2009. Judging begins at 11:00am.
  2. IMPORTANT: If you are placing mulch or live plants on the floor you must put a waterproof barrier down first.
  3. Set-up of exhibit booths in Garden Market, East Arena may commence at 8:00am on Tuesday, February 24, 2009. See page 4 for set-up times for your booth location. All exhibits and displays must be completed and cleaned by 11:00am, Thursday February 26, 2009. Show opens at 12:00 noon.
  4. All exhibitors are invited to participate in the Garden Party for you and your guests on Thursday, 5:30-8:00pm. You must have a ticket for this event. See the enclosed sheet (page 6) for more details.
  5. Exhibits may not be dismantled before 5:00pm on Sunday March 1, 2009. All exhibits and display material must be removed from the building by 4:00pm, Monday March 2, 2009. If your materials are at the Expo Center after March 2, 2009, the Expo Center will charge you additional rental fees.
  6. ELECTRICAL SERVICE: You pay for each single plug inserted into the Expo Center's outlet (order where indicated on the Show application and contract). A multi-outlet power strip is considered a single plug; we recommend using this if you need more than one outlet. Also: a) All equipment must be UL approved and comply with National Electrical Code, all Federal, State and Local Safety codes; b) All exhibitor's 120-volt cords must be of the 3-wire grounded type. All exposed non-current carrying metal parts of fixed equipment which are liable to be energized, shall be grounded; c) The York Expo Center reserves the right to refuse connection to any exhibitor whose equipment is deemed unsafe by the facility electricians; d) If you require a 220-volt outlet, please contact us.
  7. PA SALES TAX: ALL exhibitors selling state sales taxable items MUST have a valid Pennsylvania Sales Tax number. We are required by law to have your address and tax number on file and submit them to the Department of Revenue prior to the Show; please make sure you provide this information where indicated on the contract. If you do not have a number, let us know and we will see that you get an application for one or apply at www.revenue.state.pa.us.
  8. Exhibits must be manned during all hours that the Show is open to the public. Exhibit staff must be at least 16 years of age.
  9. Any tables or counters should be draped or otherwise covered to floor level.
  10. No helium-filled balloons are permitted on the premises.
  11. Posting of signs on building walls or other facilities on the grounds is prohibited.
  12. Exhibiting or displaying products of any kind outside the building is prohibited. The area immediately surrounding or adjacent to the building MUST remain open.
  13. No nails, screws or other devices may be driven into the building for any purpose.
  14. No glass containers are permitted on the premises.
  15. No adhesive tape may be used on the walls or floors without permission. Under NO circumstances may anything other than non-residue type tape be used. Failure to comply will result in additional clean-up charges from the Expo Center. Approved tape is available for $26 per roll in the Show office.
  16. All exit doors must be kept clear of objects. Additionally, do not prop open the exit doors. They must remain locked and closed throughout the Show.
  17. All aisles must be at least 10-feet wide and kept clear of objects.
  18. Fire extinguishers must be easily accessible and not blocked in any way.
  19. All fire lanes must be kept open at all times.
  20. Turn off all fuel-powered equipment when not in use, particularly during set-up and tear-down.
  21. The Show will have equipment for loading and unloading. If you use the Expo Center's front end loader, you will not be liable should there be an accident. However, if you use your own equipment, you will be held responsible in the case of an accident or injury.
  22. If you are selling food items, they must be packaged for off-premises consumption.

CHECKING IN AT SET-UP:

When you arrive at the Expo Center for set-up, check in at the Exhibitor Check-in and Information table in the lobby. We will have your exhibitor packet, which will contain Exhibitor Badges and Show tickets. We can also direct you to your booth space if needed. If you have any questions or issues during the Show, someone will be at this table to help you.

EXHIBITOR BADGES:

Exhibitor Badges will be provided for your staff. The exhibitor badges will permit entrance to the building; they should be worn during all Show hours. Please send us a list of your workers by Feb. 19, so that we can have these badges ready for you at the Show.

FREE SHOW TICKETS FOR EXHIBITORS:

Ten show tickets will be provided for each Garden Market exhibitor, and fifteen to each Landscape Display exhibitor. These tickets will be in your exhibitor packet. If you would like additional tickets, they are available at half-price ($5), and can be purchased through the Show office (before Feb. 26) or at the Exhibitor Check-In and Information table in the lobby (during the Show).

HOTELS, RESTAURANTS, AND LOCAL STUFF:

Several restaurants and the West Manchester shopping mall are only minutes away. Directions and contact information are available at the Exhibitor Check-In and Information table in the lobby.
Various hotels in the area offer a special Show rate. Special rates are available up to 30 days prior to the Show; please don't wait until the last minute to make your reservations. Click here to see a map of where these hotels are located in relation to the Expo Center.

BOOTH DIMENSIONS AND DECORATING:

Each Garden Market booth space is 10-feet wide by 10-feet deep. The front four feet of your booth may not be higher than 33 inches; the back six feet of your booth may be up to eight feet high.
The Show's official decorator is Rileigh's Convention Services. You can contact Steve Walters at 800-421-5075. Remember that 8-foot back wall drapes, 33-inch high side wall drapes and one identification sign with your booth space number are included in the rental cost of standard booths. Signs are not provided for bulk space of 400 square feet or larger. For table rentals, see page 10.

OTHER IMPORTANT INFORMATION:

  • An ATM is located on the exterior of the Toyota Arena on the East (left when facing the building) side.
  • An exhibitor's lounge will be available; the coffee's on us. Use this area to relax or as a retreat to close a sale
  • As a service to our visitors, a floor plan and list of exhibitors with booth numbers will be distributed at the door in the Visitor Guide. Ad space is available in this Visitor Guide; details HERE.
  • Should any questions or problems arise during set-up or throughout the Show, a staff member is available at the Exhibitor Sign-In and Information table in the arena lobby.
